Purpose of role\:
To support the HR function for the Poland and CE by delivering and implementing a comprehensive best practice HR service to the business. The HR Coordinator proactively delivers a full generalist HR service to the Polish and CE locations encompassing recruitment, contracting, compensation & benefits, payroll administration, onboarding, L&D, performance management, internal communications and ER. The role also supports the people management functions that underpin the business culture.
Responsibilities\:

Working in consultation with the HRBP\:

Recruitment, Retention & Talent Management
o Scope out the recruitment needs and ensure that any open vacancy is in keeping with the organisational structure to maintain organisational health identifying potential candidate sources, setting interview processes and facilitating interviews
o Manage visa application administration for new joiners and their dependants, where applicable
o Collect satisfactory references for all new employees prior to their arrival, share with line manager for visibility and file against employee record
o Work with senior management and HRBP to develop, grow and nurture top talent within the organisation

Performance Review & Reward
o Partners with the HRBP and Finance to implement salary and incentive plans that align with the performance of the business and employee delivery; validates any promotional, pay and bonus awards
o Supports the annual bonus, salary & performance review process; partner managers in their preparation prior to appraisals, PAM meetings and pay reviews

Learning & Development
o Conduct training needs analysis as part of the performance management process and identifying alternatives for effectively addressing those training needs within the budget available
o Develop fit for purpose training courses to be delivered in-house or by external trainers as appropriate

Policy, Procedures & Compliance
o Oversee the implementation of any new local, regional or global HR policies, procedures and processes; ensure that FIC's people management policies continue to meet the needs of the client areas; suggests amendments & updates to the HRBP, as relevant
o Provide advice on and adhere to immigration laws
o Deliver compliance and T&E processes and activities

Approvals, Budgeting & Reporting
o Work with Finance to approve payroll on a monthly basis; resolve any complex issues as escalated
o Utilise HR management and statistical information to proactively identify HR service improvement activities for example exit data, staff satisfaction data
o Identifies key performance indicators that help benchmark, identify and quantify HR service improvements associated with measuring the impact of specific HR activities that are aligned to business improvement
o Maintain systems and procedures to ensure HR templates, documents, handbooks, policies and procedures are always up to date
o Maintain and update employees HR files on a monthly basis

Joiners & Leavers
o Responsible for the end to end execution of joiner and leavers from executing an effective on boarding experience to exit interview
o Track end of probation periods and proactively seek feedback from the line manager in order to either confirm their employment, extend the probation or terminate the employment
o Monitor all employees who have not completed any mandatory training; re-enforce and remind where needed and escalate to the HR BP or the line manager where necessary


o Proven experience in HR Generalist role in the international environment
o Practical knowledge of polish labour law
o Advanced level of English, good command of Excel
o Excellent communication skills, incl. persuasion, negotiation and feedback skills
o Ability to understand the needs of the business and address them with the long term goal perspective (strategic approach & advisory)
o Detail-oriented and efficient person, able to flex priorities to current needs and deliver a consistent level of work, even during times of high pressure
o High self-motivation and feeling of ownership
o Good sense of humour, positive thinking approach is highly desirable
